Privacy Policy
Learn Korean With Us (“LKWU”, “we”, “us” or “our”) respects your privacy. This policy explains what personal information we collect, why we use it, who may receive it, and how you can contact us about your information.
It covers our website, course registrations, classes, email and WhatsApp communications, and apostille, translation and document-support services.
Information we collect
The information we collect depends on the service you request.
Enquiries and registrations
We may collect your name, email address, telephone or WhatsApp number, preferred course, batch selection, learning goals and information you provide when contacting us.

Course participation
We may maintain attendance records, assignments, assessment results, instructor feedback, certificate details and communications relating to your learning.
Payments
We may receive payment amounts, transaction references, payment status, receipts and screenshots needed to confirm payments or process refunds.
Apostille and document services
Depending on your request, we may receive identity documents, academic certificates, transcripts, family-relationship documents, affidavits, signatures, translations and delivery details. These documents may also contain information about your parents or other individuals.
Website activity
Our website and its service providers may collect technical information such as IP addresses, browser and device details, pages visited and interactions with the website.
Please submit only information needed for your enquiry or service. Avoid including unrelated financial, medical or identity information.
How we use your information
We use relevant information to:
• Answer enquiries and explain our services.
• Process registrations and manage course access.
• Conduct classes, provide feedback and issue certificates.
• Share schedules, materials and service updates.
• Verify payments and handle refunds.
• Review, translate, authenticate and deliver documents as requested.
• Maintain necessary business records and resolve disputes.
• Improve our website and services.
• Protect against misuse, fraud and unauthorised access.
• Meet applicable legal requirements.
Where processing requires your consent, we will request it for the relevant purpose. Simply visiting our website does not give us permission to use your information for every possible purpose.
Class recordings
Online classes may be recorded for revision and learning support. Recordings may capture your display name, voice, video, shared screen, chat messages or contributions.
We will inform participants when a class is being recorded. Access is intended for authorised learners and relevant LKWU personnel for educational purposes.
Students must not publicly share recordings or distribute another learner’s personal information without permission.
If you have concerns about appearing in a recording, contact us before the session so we can discuss available participation options.
We will obtain separate permission before using identifiable student footage or images for public promotional content.
WhatsApp groups and communications
We may use email, WhatsApp and course groups to send class links, materials, reminders and updates connected with your enrolment or requested service.
If you join a WhatsApp group, other members may see your telephone number, messages and profile information, depending on the platform’s settings. Please consider this before joining.
Do not post identity documents, payment details or other private information in a group. Use the designated form or contact us privately.
Joining a class group does not automatically constitute consent to unrelated promotional messages.
Marketing preferences
Where you have opted in, we may send information about upcoming courses, offers, events and related services.
You can withdraw your marketing consent by replying “STOP” on WhatsApp, using an unsubscribe option where provided, or emailing us.
Opting out of marketing does not prevent us from sending essential communications about an active course, payment, refund or document-processing request.
Apostille, translation and document handling
Documents submitted for processing are used to carry out the requested service and associated verification, communication and delivery.
Relevant documents or details may need to be shared with authorised processing partners, translators, notaries, authentication authorities and courier providers. We limit sharing to what is necessary for their role.
Before submitting documents containing another person’s information, ensure that you are authorised to provide it and that the person understands the intended use.
We will not publish your documents as samples or testimonials without separate permission. Any sample used without identifying permission must have personal information removed or obscured.

Payments and payment providers
Payments may be made directly to LKWU or through a payment provider such as Razorpay.
Payment providers process information under their own privacy policies. LKWU uses the transaction information available to it for payment verification, accounting and refunds.
We do not ask you to send your UPI PIN, OTP, banking password or card security code by email, WhatsApp or through a document-upload field.
Payment screenshots should show the information necessary to identify the transaction without exposing unrelated account details.
Who may access your information
Relevant information may be accessed by:
• LKWU instructors and personnel who need it for their work.
• Providers supporting website hosting, communications, online classes, file storage and payments.
• Processing partners and courier providers involved in your document-service order.
• Professional advisers or public authorities where necessary for legal obligations or legitimate dispute resolution.
Our service tools may include Wix, Zoom, Google services, WhatsApp and Razorpay, depending on the service you use.
We do not sell your personal information or provide student contact lists to unrelated businesses for their marketing.
Some providers may process information outside India. Where applicable, we will follow relevant requirements for transferring and protecting that information.
Cookies and website analytics
Our website may use cookies and similar technologies for essential functions, preferences, analytics and advertising measurement.
Where consent is required for non-essential technologies, we will request it before enabling them. You can manage available choices through the website’s cookie controls and your browser settings.
Disabling certain cookies may affect website functionality.
The cookie notice should identify the categories and providers actually used on the website.
How long we retain information
We retain personal information for as long as reasonably necessary for the purpose for which it was collected, including providing services, maintaining required records and resolving disputes.
Retention needs differ by category. Payment records may need to be retained longer than enquiry messages or document-processing copies.
We will delete or anonymise information when it is no longer needed, unless a legal obligation or unresolved matter requires continued retention.
Access to a learning-resource library does not mean that every recording, submitted document or personal record will be retained indefinitely.
You may contact us to ask about retention or request deletion. We will explain any information that must be retained and why.
Protecting your information
We use reasonable technical and organisational measures appropriate to the information we handle, including restricting access to authorised persons.
No online system is completely risk-free. If a security incident affects personal information, we will investigate, take appropriate action and provide notifications where required.
Please tell us promptly if you suspect that a class link, shared folder or document has been accessed without authorisation.
Learners under 18
Learners under 18 should involve a parent or legal guardian in registration and service requests.
Where required, we will obtain and verify parental or guardian consent before processing a child’s information.
Parents or guardians may contact us about their child’s information, recordings, group participation or promotional use. Public use of a minor’s image or testimonial requires appropriate separate permission.
Your choices and privacy requests
You may contact us to:
• Ask what personal information we hold about you and how it is used.
• Request correction of inaccurate or incomplete information.
• Request deletion where applicable.
• Withdraw consent for processing based on consent.
• Stop promotional communications.
• Raise a concern about access, sharing or security.
We may request proportionate information to verify your identity before acting on a request.
If withdrawing consent prevents us from providing a requested service, we will explain the practical consequences. We will respond within applicable legal time limits and explain any request we cannot fulfil.
Testimonials and student achievements
We will obtain permission before publishing identifiable student testimonials, photographs, videos or scholarship-success stories for promotion.
Permission to participate in a course or receive a service is separate from permission to appear in marketing.
You may contact us to withdraw permission for future promotional use. We will explain what we can remove from channels we control and any limitations involving previously distributed or independently shared material.
External websites
Our website may link to payment providers, social platforms, universities or scholarship websites.
Those organisations have their own privacy practices. Please review their policies before providing information directly to them.
Changes to this policy
We may update this policy when our services or information-handling practices change.
We will display the updated date on this page and provide additional notice of significant changes where appropriate. Where a new use requires consent, we will obtain it before proceeding.
